Add a delivery from a photo or file

Attach a delivery note, label photo, or supplier spreadsheet. Laima reads the product, quantity, package, lot, expiry date, and price. It matches products to your catalog and shows the details for you to check.

Check and correct the details

Set the supplier, date, location, and project once. Edit any item and leave out anything that did not arrive.

Receive against an existing order

Choose which open order is arriving, or record the delivery as extra stock. For a partial delivery, the remaining quantity stays on order.

You decide when to add items

New products, suppliers, and packages are created only when you press Receive. Unsaved drafts stay available for 30 days.

Prepare and track supplier requests

Ask what is running low to check stock and incoming orders. When you ask Laima to prepare order requests, it saves a separate request for each supplier, ready to review. Requests do not change inventory or incoming stock.

Review and send it yourself

Check quantities, download a PDF or Excel file, or copy the request as text. Send it to the supplier yourself, then mark it as sent in Laima.

Find and update saved requests

Ask for a saved request by reference or supplier. Ask Laima to change quantities or notes before it is marked as sent. Saved requests remain available even if you delete the chat.

Record the supplier’s confirmation

Attach the confirmation, check the items and expected arrival, then press Add to in transit. Stock becomes incoming only when you press it.

Catch up on your lab’s inventory

See what expires soon, what is running low, what is being used unusually fast or slowly, and what is unused. The summary includes counts, suggested next steps, and links to records.

Ask in chat

Ask about the whole lab or one project. The summary checks expiry dates for the next 7 days, compares last week’s use with the week before, and lists stock unused for 60 days.

Turn on weekly emails

In Settings → Emails, choose which stock to include, the day, and the time. Laima sends the summary to your verified email address. These emails are free and do not use AI credit.

Ask about the whole lab, shared stock, or one project. If a project name could mean more than one thing, Laima asks you to choose.

Stock planning, reports, and imports

Find stock and choose a lot

Find where a reagent is stored and who owns it. See which lot expires first and should be used first. Expired stock and orders that have not arrived are excluded.

Check materials for a project

Paste or attach a materials list with quantities and the date you need them. See available stock, proposed picks, shortages, and incoming orders. Order missing items opens the order list with the short items ticked.

Estimate when stock will run out

Use recorded consumption to estimate how many days of stock remain. If the supplier’s delivery time is known, Laima also suggests when to reorder. This needs usage recorded on at least three dates over 14 days.

Understand stock changes

See why stock changed, with links to usage records. Admins can also use the audit history.

Find catalog errors

Spot possible duplicates, extra spaces, repeated supplier catalog numbers, and conflicting package sizes. Follow links to edit them. Laima does not merge or delete anything for you.

Match spreadsheet columns

During a supplier spreadsheet import, use AI credit to suggest which column belongs in each Laima field. Check the matches before importing, or match columns manually without AI credit.

Create and export reports

Check spending by supplier, project, or item, price changes, the value of stock expiring soon, and unused stock. Results use the same calculations as Reports. Excel exports include the stock and usage records behind the summary.

You stay in control

Laima calculates from your records. You review deliveries and confirmations before stock changes.

The AI reads your question and documents. Laima calculates quantities, dates, prices, stock allocations, and forecasts from your records.

You approve stock changes

Review deliveries before pressing Receive and supplier confirmations before pressing Add to in transit. Saved order requests and materials checks do not change stock.

You contact suppliers

The assistant saves or updates supplier order requests when you ask. You review and send them yourself. Marking a request as sent does not send an email or add incoming stock.

How AI uses your data

We do not send company records or user profile details to AI providers. Requests are sent through OpenRouter to an AI provider. We set OpenRouter to block providers that use your data for AI training. Privacy Policy

Conversations and files

Within Laima, chats, files, and drafts are private to you and your team. Content needed for an AI answer is also sent to AI providers. Deleting a chat removes its messages and files from Laima.

Drafts and saved requests

Unsaved delivery and order confirmation drafts expire after 30 days. Saved supplier order requests do not expire automatically and remain available if you delete the chat.

What can Ask Laima do?
It helps you check stock, expiry dates, locations, lots, and reports. It can prepare deliveries and supplier confirmations for review, save and update supplier order requests, check materials for an experiment, estimate when stock will run out, explain stock changes, and summarize the week. You can also ask it to find a help guide.
Can the assistant change stock or contact suppliers?
When asked, it can save supplier order requests and update their quantities or notes. These do not change stock. Review deliveries before pressing Receive and supplier confirmations before pressing Add to in transit. You contact suppliers yourself.
Where does my data go when I ask a question?
We do not send company records or user profile details to AI providers. Your question, relevant chat history, inventory records, and attached files are sent through OpenRouter to an AI provider. Processing may take place outside the European Economic Area. We set OpenRouter to block providers that use your data for AI training. Privacy Policy

Is the AI assistant free?
Your team starts with $10 of shared AI credit. Ask Laima and AI spreadsheet column suggestions spend that credit. Team administrators can buy more from AI credits. Inventory, scanning, reports, and scheduled weekly emails remain free. No credit card is needed to create an account.
Who can use AI features?
Team administrators can enable or disable AI access for each member. AI requests need available team credit. AI access does not grant additional inventory permissions, and members without AI access can still use the rest of Laima.
Can I get a weekly summary by email?
Yes. In Settings → Emails, choose which stock to include, the day, and the time. This personal setting is available to every team member. Laima sends the summary to your verified email address. Asking in chat does not turn on emails. Scheduled emails do not use an AI provider or AI credit.

Inventory, scanning, reports, and weekly emails are free for unlimited users, with no time limit. AI uses team credits. No credit card needed to sign up.
